DESCRIPTION

This person will work in the Operations Department and report directly to the VP of Operations to ensure the company’s weekly functions are handled efficiently and accurately. 

To be successful as an Operations Assistant, you should be able to multitask, understand basic business operations and have excellent communication and organizational skills. We expect this position to work a range of hours each week depending on workload, typically averaging 5-15 each week.

RESPONSIBILITIES (while working an average of 10 hours per week)

Weekly: 

  • If local, visit the Postal Annex in San Diego on a weekly basis, retrieve mail, review, process and follow up with appropriate parties. 
  • Support the company’s efforts in creating a highly collaborative, open and friendly work culture
  • Process biweekly payroll for 18-20 employees

Monthly:

  • Track client expenses and monthly invoicing and follow up with clients on outstanding invoices
  • Receive, record, liaise with bookkeeper on invoices and payments from vendors and clients
  • Run monthly QuickBooks reports, payroll and client time-tracking reports, create tables related to client time and staff hours 
  • Communicate with company’s vendors to support Operations work 

Periodically: 

  • Order and track Work from Home supplies, employee enrichment activities, computer repairs, etc. 
  • Update confidential payroll records (e.g. employment status, change of address, medical deductions, etc.)
  • Monitor the company’s paid subscriptions and memberships
  • Assist the VPO with basic HR tasks such as distributing updated staff handbook to all team members
  • Support the VPO and hiring managers when onboarding new hires, and off boarding staff by using the latest versions of the company’s respective procedures and taking responsibility for completing the process from beginning to end. 
  • Assist Managers with staff celebrations, happy hours, co-working block, deliver/ship special gifts to staff and clients

KNOWLEDGE, SKILLS, TRAINING AND EXPERIENCE

  • Knowledge of basic office and business transactions such as payroll processing, invoice tracking, report generating
  • Experience working in, or an understanding of, social justice communities 
  • 1+ years of business/office administration experience

 

COMPENSATION 

  • $15-$18/hour based on experience
